The Role: 

An accounts payable clerk is responsible for completing payments and controlling expenses by receiving, processing, verifying, and reconciling invoices. Their role is imperative for making sure municipal finances are accurate and up to date, that staff are paid in a timely manner and that vendors and suppliers are paid within established time limits.

Reports to: Director of Finance

Key Day to Day Duties:

  • Receive and verify invoices and requisitions for goods and services
  • Data enter invoices for payment
  • Maintain listing of accounts payable
  • Maintain updated vendor files and file numbers
  • Verify pay amounts, hours of work, deductions, etc.
  • Verify coding and obtain signatures
  • Batch paysheets for data entry
  • Data enter of payroll information

 Key Technical Skills needed to be an Accounts Payable Clerk:

To work as an Accounts Payable Clerk you need working knowledge of basic accounting principles, alongside proven experience of administrative and data entry work. Having great computers skills and experience with key computer programs and software is paramount.

  • Knowledge of accounts payable and accounts receivable
  • Ability to maintain general ledgers
  • Computing skills, including the ability to operate computerized accounting, spreadsheet and wordprocessing programs
  • Competentcy in Microsoft Office
  • Knowledge of payroll functions and procedures
  • Accuracy and efficiency when completing data entry tasks
