Job description
Purpose of Role
The Personal Associate is to provide personalised secretarial and administrative support in a well-organized and timely manner. You will work on a variety of tasks related to the Senior Manager's requirements
Key Responsibilities:
- Diary management: Manage and organise the diary including all appointments, meetings, travel, visas and accommodation arrangements;
- Monitor respond to and redirect incoming email as appropriate;
- Screen phone calls, enquiries and requests, and manage interruptions to support the effective time management of the team;
- Identify, research, anticipate and prepare information, documents, briefing papers and reports in advance of meetings and presentations;
- Schedule team meetings, prepare agenda and draft minutes working closely with other PA's, delegating work to others and making decisions if necessary;
- Schedule and attend Leadership Meetings when required, take minutes and be point of contact for Leadership Team;
- Assist with the coordination of specific projects, review operating practices and implement improvements where necessary;
- Devise and maintain office systems, including data management and filing;
- Meeting and greeting visitors at all levels of seniority, liaising with clients, suppliers and other staff;
- Supervise, coach and train more junior level staff;
- Ad hoc projects as and when required including occasional support to personal appointments and arrangements .

- Excellent organisational skills with the ability to thrive in a demanding environment whilst juggling multiple priorities;
- A highly motivated self-starter with a can-do attitude, even in the face of demanding deadlines whilst maintaining attention to detail;
- Extensive ability to research, digest, analyse and present material clearly and concisely with exceptional written and oral communication skills;
- Excellent word processing and IT skills, including knowledge of a range of software packages;
- Great interpersonal skills, natural team player, who enjoys working collaboratively with colleagues but equally able to work on your own initiative;
- Discretion and an understanding of confidentiality issues. honesty and reliability.
Person Specification
We are looking for a competent Personal Assistant to provide personalised secretarial and administrative support in a well-organized and timely manner. We like people who are smart, funny, innovative and tenacious, who can adapt and work together
Qualifications and Experience:
Essential:
- At least 2 years' experience providing support at a high level;
- Previous experience of working with in the medical profession or tech environment would be advantageous;
- Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite;
- Knowledge of standard office administrative practices and procedures;
Desirable: Bachelors' degree
This position is to start ASAP to cover maternity leave
Duration : 3 months poss plus
Salary: Hourly / Day Rate based on perm salary of £35K
