Receptionist

Our client who are a Strategic Travel Management and Services Company, leading its field with a vision to attract, develop and retain the most talented people within the industry.

A position has become available for a Receptionist/Telephonist who will also provide support to other areas of the business.

Main Duties:

The Receptionist/Telephonist is responsible for the Reception area on the 1st floor and work as a team with the Senior Receptionist on the 12th floor. The role also includes answering a high volume of incoming calls via the switchboard.

You will be expected to provide a professional and friendly environment, whilst ensuring all visitors and incoming callers are promptly assisted and made to feel welcome.

The role will be responsible for looking after onsite couriers.

In addition, this role will also provide assistance with ad hoc administrative tasks.

PRINCIPLE RESPONSIBILITIES:

Guest Relations
· Signing in and out of visitor book and issuing visitor passes
· Ensuring clients and prospective clients are handled appropriately

Switchboard
· Answering incoming calls in a professional and friendly manner
· Taking accurate and clear messages
· Logging in and out of system correctly

Post
· Sorting morning post for 1st floor
· Ordering couriers - national and international
· Assisting in reconciling courier invoices
· Preparing outgoing post for collection

Assisting other departments
· Typing, internet research, postage, laminating, ad hoc requests

Other responsibilities
· Ordering couriers - national and international
· Distribution of incoming company email requests
· Assisting with ad hoc requests

SKILLS, KNOWLEDGE AND EXPERIENCE:

· Prior Reception experience in a corporate environment
· Excellent communication skills (Verbal and Written)
· Good organisation skills
· Working knowledge of Microsoft office (Word, Excel, Outlook
