Job description
Our Asset Management client are looking to hire an experienced Executive Assistant to support the head of Investments and head of Corporate Banking for a 12-month maternity contract.
As Executive Assistant you will be accountable for providing high level, client focused administrative and professional support.
Main Duties:
- Provides full support to Head of Investment & Corporate Banking, EMEA
- Full discretion and management of professional's calendar and contacts
- Manages and coordinates logistics for client events, conferences (UK and International)
- Minimal personal work (flight/restaurant bookings)
- Manages complex international multi-leg travel, often requiring continuous changes, and rescheduling
- Applying for visas for foreign travel
- Manage and process expenses - prepare, track and file expense reports
- Maintenance of professionals Salesforce entries including pulling reports when requested
- Extensive phone coverage
- Re-allocate business costs for entire department as required
- Book meeting rooms, conference calls, dialing professional into conference calls
- Formatting of presentations/spreadsheets as needed
- Assists with maintaining, management and distribution of committee, marketing, compliance and regulatory documents as required
- Works with other Administrative Assistant to ensure office runs smoothly and holidays are covered
- Perform other administrative duties as assigned
- Oversees and assists with Covid Return to Work seating and logistical planning
- I&CB Office and/or desk moves coordination, liaising with stakeholders where applicable
- Assists with onboarding and offboarding I&CB employees, including trainee and graduate induction programmes
- Oversees compliance requirements for the group, ensuring that policy is adhered to and on-going requirements are completed
- Coordinates training requirements for staff (research, booking, cancellations, confirmations,)
- Partner with management on ongoing projects i.e. social events, charitable committee duties
