Job description

My Client, a Global Real Estate company, are seeking an experienced Executive Assistant to support the COO and the CTO. As an Executive Assistant to two C-suite members you will act as a trusted partner and liaison, handling a wide range of executive-level responsibilities.

The ideal candidate is a proactive, detail-oriented professional with exceptional organizational skills, impeccable discretion, and the ability to thrive in a fast-paced and dynamic environment.

This 4 days based in their London office, hours 9-6pm with a salary up to £50,000

Responsibilities of Executive Assistant:

  • Proactively manage the COO and CTO calendar, prioritize appointments, and coordinate meetings, conference calls, and travel arrangements.
  • Anticipate schedule conflicts and handle changes or adjustments effectively.
  • Manage incoming communications (emails, calls, letters) on behalf of the COO and CTO, ensuring prompt and professional responses.
  • Draft, review, and edit documents, presentations, and reports as requested.
  • Prepare agendas, meeting materials, and presentations for internal and external meetings.
  • Attend meetings, take minutes, and follow up on action items and decisions made during the meetings.
  • Arrange venue logistics, catering, audiovisual equipment, and other event requirements.
  • Handle sensitive and confidential information with utmost professionalism, ensuring the highest level of discretion and maintaining strict confidentiality.

Requirements of Executive Assistant:

  • Proven experience as an Executive Assistant, supporting C-level executives or senior management.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks, handle multiple projects simultaneously, and meet deadlines.
  • Strong verbal and written communication skills, with keen attention to detail and grammar.
  • Proficiency in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms.
  • Excellent interpersonal skills, with the ability to build relationships and communicate effectively with individuals at all levels.
  • Discretion and professionalism in handling confidential and sensitive information.
  • Proactive mindset with the ability to anticipate needs, identify potential issues, and take appropriate actions.
  • Adaptability and flexibility in a dynamic and fast-paced work environment.
  • Strong problem-solving and decision-making abilities.
