Job description
My client is an established and successful investment manager located in London. They are currently searching for a Front of House Facilities Assistant. You would play a pivotal role in ensuring the smooth operation of my client's office's reception and facilities. Your primary responsibility would be to create a welcoming environment and manage various administrative tasks.
Key Responsibilities of Front of House:
- Greet visitors warmly and attend to their needs, including making refreshments.
- Answer incoming phone calls professionally and connect callers with the appropriate staff members.
- Manage incoming and outgoing mail, including franking, distribution, and courier arrangements.
- Maintain office and kitchen supplies, ensuring appropriate stock levels.
- Provide basic IT support for office equipment and software, including phone systems, printers, Outlook, Word, Excel, and Adobe.
- Help coordinate the onboarding and offboarding processes for employees, including setting up workstations and system access.
- Organize internal and external meetings and events, handling travel arrangements.
- Manage internal meeting room bookings and ensure they are well-presented.
- Assist with meeting preparations, including setting up remote meetings via Zoom/Teams, editing PDFs, binding client packs, and ordering business cards.
- Manage the firm's general info inbox.
- Provide support to the Marketing Manager, including tasks related to LinkedIn, website updates, and HubSpot.
- Contribute to a positive and supportive company culture.
- Attend first aid and fire marshal training as required.
- Undertake other ad-hoc duties as necessary.
- Proven experience in a similar role within a fast-paced environment.
- Confident, courteous, friendly, and approachable with excellent communication skills while maintaining confidentiality.
