Job description
An exciting opportunity has become available for a HR Administrator working for an international law company working out of the London office. As HR Administrator you will be primarily responsible for the recruitment administration process as well as supporting the HR team with general administration tasks. Ideally you have previous experience working in a law firm, knowledge of AllHires and experience using Workday.

Responsibilities
Recruitment
- Create new positions in AllHires (Applicant Tracking System) and assist in ensuring it is kept updated at all times
- Liaise with recruitment agencies, candidates and internal stakeholders to schedule and coordinate a large number of interviews, including sending out interview confirmation
- Ensure that terms and conditions of business are sent to recruitment agencies with responses maintained on a spreadsheet
- Continually review existing recruitment administrative processes and procedures, suggesting any efficiencies or improvements as noticed
- Ensure callers receive a consistent, high quality service by taking accurate messages and passing them on promptly
- Deal with incoming correspondence and take the necessary action to ensure that time-sensitive emails are dealt with without delay
- Produce contracts of employment
- Coordinate the conflicts clearance and background screening processes for new joiners
- Prepare induction timetables for new hires
- Create and help to maintain employee files
- Learn and comply with firm policies and procedures, ensuring compliance particularly with regards to confidentiality, security , data protection and file retention and destruction requirements
- Assist with ad hoc projects
- Other duties as required
Generalist HR
- Assist and support the Human Resources team with general administration tasks
- Work with the current HR Administrator to manage all HR filing and archiving
- Diary management for the Director of Human Resources and others within the team as required
- Prepare general standard correspondence for members of the team, e.g. letters, references
- General administration and "Super-user" of the HR system (Workday), including new joiners, leavers, and changes. Run reports from Workday both for the team and other departments when necessary. Act as primary contact within the team for any queries or problems. Liaise with HR Systems in relation to any issues
- Assist with monthly HR GDPR processes, ensuring employee information is deleted within required timescales
- Other ad-hoc projects or duties as required
Key Skills
- Knowledge of the UK legal market, desired
- Proficient in Microsoft Word, Outlook, Excel and PowerPoint
- Strong organisational skills
- Excellent spelling and grammar
- Strong verbal and written communication skills, with the ability to communicate with individuals at all levels
- High level of confidentiality
- Friendly and enthusiastic with a flexible and proactive approach
- Ability to juggle a number of deadlines and competing priorities in a fast-paced environment
- Ability to work a flexible schedule, including some overtime
