Job description

My client is looking for an experienced Legal PA Team Leader to work for a top 20 Legal Firm. This role is dual purpose as you will be a Legal PA to Senior Fee Earner in the Commercial / Construction Litigation Team, as well as supporting a small team of EA/PA's, based in fantastic City offices. You will be working in this fast-paced environment providing supportive and nurturing guidance to the team of 4 PA's and providing support to Fee Earners

Legal PA Team Leader duties

  • Be the point of contact for the team maintaining holiday, sickness record

  • Address conduct issues and ensure company policy's are adhered to and maintained

  • Produce agendas and take minutes of meeting

  • Liaise with Partners and HR in regard to staffing queries and phased returns to work

  • Champion change and be an active participation in projects, undertaking testing and providing feedback

  • Participation in training sessions for new software, processes or procedures

  • Assist the Legal Admin Services Manager where appropriate.

  • Become a superuser in all IT systems, supporting the team where appropriate.

  • Manage the distribution of workload

  • Manage the teams rotas and ensure adequate cover

  • Ensure new starters have buddies/ mentors and the correct set up is ready for day one and seating is allocated.

Executive Assistant duties

  • Providing a full EA service to senior Fee Earners

  • Act as Gatekeeper

  • Arranging diaries, meetings and global travel

  • Manage partners' billing processes: agreeing on billing dates, gathering disbursements, initiating prebills, completing billing checklist etc

  • Processing expenses etc

Skills Required

  • Previous EA / PA experience within a legal firm is essential.

  • Previous Team Leadership / Management experience is essential

  • Experience in Billing for Fee earners is essential

  • Preferably have Construction / Commercial Litigation experience

  • Excellent communication and leadership skills

  • Proactive and collaborative Team Player

  • Highly organised

  • Excellent communication skills and used to speaking with stakeholders

  • Good IT skills and experience in Billing systems
