Job description

A highly experienced PA is needed to work for the Executive Principal of this education facilitator, based in East Lodon

As the first point of contact / gatekeeper for the Executive Principle you will provide a strong admin and secretarial service, building relationships to both staff and external partners

Main duties

  • Providing excellent time management in maintaining the Principles calendar, ensuring strategic planning time is scheduled in an effective manner
  • Check mail and manage the principles inbox
  • Collate and distribute correspondence and documentation, maintaining action logs and bring forward
  • Provide support with Trust activities and stakeholders as required, Time management of the Executive Principal's calendar, ensuring strategic planning time is scheduled in an effective manner
  • Organise the collation and distribution of correspondence and documentation in a timely manner
  • First point of contact for the Executive Principal in communicating with trustees and stakeholders
  • Support the Executive Principal/Head of HR with certain personnel functions/ HR Administration duties
  • Manage confidential work with considerable tact and diplomacy
  • Ensure the manual / computerised filing system are maintained
  • Present a professional, welcoming service to stakeholders and provide refreshments
  • Take minutes when required of meetings and ensure agenda's are prepared , documents collated, rooms and refreshments booked
  • Produce letters, reports, data analysis and other documents from dictation and manuscript as well as drafting routine correspondence for the Executive Principal
  • Manage the complaints process
  • Production of documents, g. leaflets, prospectus etc
  • Organise hospitality for internal Meetings and school events
  • Organise travel and accommodation for the Executive Principal duties if required
  • Liaise with staff, parents, governors, Local Authority, DfE and outside agencies as appropriate
  • Organise general administrative work including all correspondence
  • Responsible for all correspondence to Directors and Governors including Agendas and the papers relating to Board/Governors Meetings, preparation of Reports to Directors/Governors and general liaison

Person Specification

  • Previous PA experience within a busy and confidential environment is essential
  • Excellent organizational skills
  • Previous minuting of meetings is essential due to the confidentiality
  • Have an excellent eye for detail
  • Be computer literate, good MS Office Word, Excel, PowerPoint and ability to update websites
  • Knowledge of SIMS would be an advantage
  • An awareness of freedom of information act would be useful
  • Previous experience of working in in the education sector would be desirable
  • Attendance to other Trustee sites may be required

Be flexible to attend early and late meetings as and when required

Salary : £29000 - £34000 (pro rata)

Hours : 39 hours (term -time = 39 weeks +2 weeks)
