Executive Assistant - 12 Month FTC - The Role
This is an exciting opportunity for an experienced and accomplished Personal Assistant to support the CFO of a global business in their brand new City office.
Main duties and responsibilities
Provide support to the Chief Financial Officer
Assist the CFO with all administration support requirements including management of calendar, phone, email and expenses - ensuring all queries, requests and correspondence are dealt with promptly and appropriately
Responsible for scheduling and maintaining the CFO's calendar including prioritising and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals and maintaining an organised schedule
Global travel for regular business trips to Tokyo, New York, Manila, Hong Kong and Europe including flights tickets, hotel bookings, airport transfers, visa applications, arranging meetings and conference registration
Schedule complex month-end and quarterly forecast meetings for the CFO in line with yearly financial timetable. Coordinate director availability, collate slide presentation reports, make meeting room reservations and organise catering
Schedule quarterly Investment Board meetings, coordinate director availability with EA's
Coordinate and facilitate various Finance meetings for the CFO, including quarterly Finance All Hands meetings, Finance Leadership Team meetings, project meetings and regular catch-ups with direct reports and stakeholders
Organise business lunches, team events and away days
Assist with projects as required
Work closely and build good relationships with leadership at the FT and Nikkei, and their assistants
Provide a high level of internal and external customer service, including meeting and greeting visitors and providing assistance where needed.
Personal support as needed
General administration assistance for the wider Finance team, including but not limited to; meeting room bookings, mail distribution, stationery orders and new joiner on boarding.
Provide support to CFO's direct reports
Effectively provide professional administrative support as necessary
Assist with travel bookings, including flights, accommodation, transfers and visas
Arrange recurring internal meetings and project meetings with external parties
Process expense claims
The ideal candidate will be an effective communicator with strong interpersonal skills, can settle into a busy environment and make a strong contribution to maintaining the relationship with key stakeholders. There will be lots of scope for this person to take on more project work as the job evolves, including assisting the deputy CFO and the Corporate Development and Strategy Director.
Qualifications, skills and experience
Proven track record in an Personal Assistant role within a corporate or media environment, or similar
Finance background preferred but not essential
Proficient in Google Suite and Microsoft Office (Word, PowerPoint, Excel), managing IT issues effectively
Strong organisational skills including the ability to manage calendars and effectively maintain demanding schedules
Experience is organising meetings, managing travel arrangements, and providing general office operations support
Demonstrated proactive approaches to problem solving with strong decision-making capability
Personal attributes:
- Very strong interpersonal skills and the ability to build and maintain a professional, friendly and cordial relationship with stakeholders including staff, board members, senior management and external parties
Highly resourceful team player with the ability to also be extremely effective independently
Extremely team-focused, and enjoys providing support to wider team members
