Job description

We have an exciting opportunity become available working as a HR Administrator for a leading International Law Firm.

You will be working within a well-established, friendly and welcoming HR team. They are looking for an enthusiastic and client focussed HR Administrator to join the team.

Duties

Recruitment

  • Create new positions in AllHires (Applicant Tracking System) and assist in ensuring it is kept updated at all times
  • Upload vacancies to external websites
  • Liaise with recruitment agencies, candidates and internal stakeholders to schedule and coordinate a large number of interviews, including sending out interview confirmation
  • Relationship Management with Recruitment Agents and Candidates
  • Ensure that terms and conditions of business are sent to recruitment agencies with responses maintained on a spreadsheet
  • Support the Firm's Diversity initiatives, events, and lawyer affinity groups
  • Continually review existing recruitment administrative processes and procedures, su
  • ggesting any efficiencies or improvements as noticed
  • Ensure callers and any emails receive a consistent, high quality service by taking accurate messages and passing them on promptly and
  • Assist the recruitment manager in managing the London recruitment inbox
  • Produce contracts of employment
  • Coordinate the conflicts clearance and background screening processes for new joiners
  • Prepare induction timetables for new hires
  • Create and help to maintain employee files

Generalist HR

  • Assist and support the Human Resources team with general administration tasks
  • Diary management for the Director of Human Resources and others within the team as required
  • Prepare general standard correspondence for members of the team, e.g. letters, references
  • General administration and "Super-user" of the HR system (Workday), including new joiners, leavers, and changes. Run reports from Workday both for the team and other departments when necessary. Act as primary contact within the team for any queries or problems. Liaise with HR Systems in relation to any issues
  • Administration of key dates (5 years' service etc.), wedding gifts, Outstanding Performance Recognition Award scheme and Attendance Award scheme, ordering flowers, eye tests etc.
  • Assist with monthly HR GDPR processes, ensuring employee information is deleted within required timescales

Person Specification

  • Previous law firm experience preferred
  • Knowledge of the UK legal market, desired
  • Proficient in Microsoft Word, Outlook, Excel and PowerPoint
  • Prior experience of Workday, a distinct advantage
  • Knowledge of AllHires, a plus
  • Strong organisational skills
  • Outstanding attention to detail and accuracy
  • Strong verbal and written communication skills, with the ability to communicate with individuals at all levels
  • High level of confidentiality
  • Friendly and enthusiastic with a flexible and proactive approach
  • Self-motivated, with the ability to juggle a number of deadlines and competing priorities in a fast-paced environment
  • Ability to work a flexible schedule, including some overtime
