Job description

A fantastic opportunity for an experienced PA to work for the Executive Principle of this outstanding Education facilitator, based in East London

As the first point of contact/gatekeeper for the Executive Principle you will provide a strong administrative and secretarial service, building relationships with both staff and external partners

Main duties:

  • Providing excellent time management in maintaining the Executive Principle's calendar, ensuring strategic planning time is scheduled in an effective manner
  • Check mail and manage the Executive Principle's inbox
  • Arrange the collation and distribution of correspondence and documentation in a timely manner, maintaining action logs and a bring forward system
  • Be the first point of contact for the Executive Principle in communicating with Trustees and Stakeholders, supporting as required and ensuring strategic planning time, is scheduled in an effective manner
  • Also assisting the Head of HR in providing HR administration support
  • Manage confidential work with considerable tact and diplomacy
  • Ensure the manual/computerised filing systems are maintained
  • Present a professional, welcoming service to stakeholders and guests, and provide refreshments
  • Take minutes when required of meetings and ensure agendas are prepared, documents collated, rooms/refreshments are booked
  • Produce letters, reports, data analysis and other documents from dictation and manuscript as well as drafting routine correspondence for the Executive Principle
  • Manage the complaints process
  • Production of documents e.g. leaflets, prospectus
  • Organise hospitality for internal meetings and assist in arranging school events
  • Arrange travel and accommodation for the Executive Principle
  • Liaise with staff, parents, governors, local authority, Dept of Education, and outside agencies as appropriate
  • Provide general administrative support
  • Arrange Board/Governors meetings, and be responsible for all correspondence to Directors/Governors including agendas, collating documentation, and preparation of reports
  • Occasional travel and attendance may be required to other sites

Person Specification

  • Previous PA experience within a busy and confidential environment is essential
  • Excellent organisational skills
  • Previous minuting of meetings is essential due to the confidentiality
  • Have an excellent eye for detail
  • Be computer literate, good MS Office Word, Excel, PowerPoint and ability to update websites
  • Knowledge of SIMS would be an advantage
  • An awareness of freedom of information act, would be useful
  • Previous experience of working in in the education sector would be desirable
  • Be able to be flexible to attend early and late meetings as and when required

Salary: £29000 - £34000 (pro rata) - dependant on relevant experience
Hours: 39 hours per week (term -time = 39 weeks +2 weeks)
