An excellent opportunity to work as a Team Assistant for this Global Investment Company based in Central London. Reporting directly to the Senior Execs your duties will be as follows
  • Processing of cash and corporate card expenses;
  • Booking travel, accommodation and taxis;
  • Using the building management's system, log in visitors and facilities helpdesk jobs, following up tasks until completion;
  • Assist with investment team's holiday scheduling maintaining process and set out procedures;
  • Assist with AV bookings and zoom meeting scheduling;
  • Assist with maintaining health and safety procedures, keeping up-to-date records compliant with relevant regulations (including GDPR) and ensuring monthly and quarterly checks are carried out in a timely manner (training will be given as required);
  • Assisting with budgeting: checking all incoming invoices for the department, assisting with expenditure approval process and maintaining accurate records of expenditure by scanning and filing;
  • Executive diary management experience should cover be required;
  • Providing Receptionist cover as and when required;
  • Business card ordering, stationery ordering and monitoring;
  • Re-stocking, clearing cups, replenishing fridge etc. of the Executives' offices;
  • Re-stocking of coffee, milk, cups, sugar etc. for the coffee and water machines on the 12th floor;
  • Any other ad-hoc admin duties as required such as printing and binding etc.

You will need to have:_
Minimum 2 years' admin / team assistant experience
Good education level (preferably graduate but not essential)
Excellent communication and organizational skills
Be proactive with a good eye for detail
Confident written skills
Good MS Offices skills (Word, Excel, PowerPoint and Outlook)
Preferably have worked within Financial Services
Spoken and written Spanish would be desirable
